What AB‑PHONE keeps from your calls, and what it does not.
An AI receptionist processes personal data. Here is, without jargon, what is recorded, for how long, who can see it and which providers are involved.
What is never kept
- The audio recording of the call
- The full transcript of the conversation
- The caller’s phone number: it is only looked up at the operator to send a text accepted during the call
What is kept, and for how long
- Message left (first name, call-back details, subject, summary read back and confirmed by the caller): deleted 30 days after being handled, and after 90 days at the latest
- Neutral call summary (two sentences, no name or number): deleted after 90 days
- Technical call data (date, duration, reason, outcome): deleted after 13 months, for statistics and billing
- Calls to the demo number: deleted after 30 days
- Deletion is automatic and runs several times a day
Transparency during the call
- The assistant introduces itself as a virtual assistant from the first sentence
- It answers honestly if asked whether it is human
- Before recording a message, it reads it back, states how long it is kept and asks for agreement
- A confirmation text is only sent after an explicit “yes”
Who does what
The business using AB‑PHONE is the controller of its callers’ data. AB‑CONNECT acts as a processor, under a data processing agreement (DPA) signed before going live.
Only the business concerned, for its own calls, and the AB‑CONNECT support team can see messages and call records. Technical logs contain no call content.
Technical providers
- OpenAI: the assistant’s understanding and voice, through a project configured for the European region
- Twilio: phone number, call routing and texts; some metadata may be processed outside the European Union under contractual safeguards
- Hostinger: hosting of the AB‑PHONE application and its database
Your rights and your callers’ rights
A caller can ask the business they called for access to, correction or deletion of their message. AB‑CONNECT helps answer within the legal deadlines. Any question: contact@ab-connect.be.
Yes. We send it on request, with the current list of processors.
Yes. It is off by default and enabled separately for each receptionist.
The call is forwarded to your number during your transfer hours; otherwise an announcement asks the caller to call back. No call falls into silence.
