A parent, participant or volunteer should understand your purpose, find an activity and know how to join. We start with that public need, then prepare management tools once your rules are clear enough.
First: make your purpose clear
The initial website explains your mission, audience, activities, dates, venues and contact options. Important information should be easy to update: a full activity, changed hours or registration opening. A first version can use a simple form without waiting for a complete management system.
Next: access that matches responsibilities
Administrators, coordinators, activity leaders and participants do not need the same information. We define who creates activities, edits registrations, views lists and exports data. A parent or member area is a separate module with its own access and account recovery rules.
Before development, we describe the full registration flow: capacity, waiting list, confirmation, any payment, cancellation and refund. A cancelled booking must be distinct from a payment received or still due. Your team validates these states with examples before launch.
Prepare the project and retain control
Bring your activity schedule, current forms and list of roles. We separate public information, team-only information and details visible only to the person concerned. Contact and special information are not requested by habit: every field needs a defined purpose.
The quote separates the public website, management features, payments and recurring costs. Starting prices for a brochure website do not automatically include a registration platform. We also define who updates the website, how data can be retrieved and what guidance volunteers need.
Yes. We prepare content and future needs without building everything immediately. Each phase has its own deliverables, budget and approval.
No. You can start with manual confirmation or tracking bank transfers. If online payment is added, provider fees and refund rules are handled separately.
First identify the authoritative list, its fields and who may access it. We test a small sample, check duplicates and agree a switchover date. Importing data and creating accounts are separate operations: access and notifications are activated only after approval.
